Even in a digital world, most UAE businesses still keep paper records — contracts, invoices, trade licence copies, HR files and VAT documents. A good filing system saves hours of searching and keeps you ready for audits.
1. Choose the right files
| File type | Best for |
|---|---|
| Lever arch files | Large volumes — invoices, accounts |
| Box files | Loose documents, archives |
| Ring binders | Manuals, policies, reference |
| Clear document folders | Active projects, client papers |
| Hanging files | Desk drawers and cabinets |
2. Pick a filing method
- By client or supplier name — alphabetical; great for sales and purchasing.
- By date — monthly or yearly; ideal for invoices and accounts.
- By category — HR, Finance, Legal, Operations.
- By number — for invoice or project numbers.
Most offices combine these, e.g. Finance → Year → Month.
3. Use colour coding
Assign one colour per department:
- Blue — Finance
- Green — HR
- Red — Legal / urgent
- Yellow — Projects
Staff can find the right section at a glance.
4. Label everything clearly
Use printed labels on the spine of every file: department, subject and year. Printed labels look professional and are easier to read than handwriting.
5. Archive regularly
Move older files into labelled archive boxes once a year. Keep records for the period required by UAE regulations for your type of business. Your accountant can confirm the exact period for your business.
6. Shred what you no longer need
Destroy confidential documents securely with a cross-cut shredder — never put them in the bin whole.
